# Orders

> What an order's status means, and what you can do to one

An order exists from the moment a buyer starts a checkout, or you raise an invoice. The ID in a checkout's address is the order's ID.

## Statuses

| Status | What it means |
| - | - |
| **Pending** | Made and not paid yet. An unpaid order is cancelled by itself after 24 hours, or the time you set: see [unpaid orders](/guides/payment-methods.md#unpaid-orders). |
| **Completed** | Paid and delivered. This is a sale. |
| **Refunded** | The money went back, or the buyer was credited. |
| **Cancelled** | Nobody paid in time, or the buyer cancelled. |
| **Chargeback** | The buyer's bank took the money back. |

Money that arrives late for a cancelled order still completes it.

## What you can do to an order

### Mark as paid

On a pending or cancelled order: completes it as a payment would, for money that reached you some other way. Refused if any line cannot be delivered in full.

### Approve or reject a payment outside Shoply

On an order paid with one of your [custom payment methods](/guides/custom-payment-methods.md), once the buyer says they have paid: **Payment Outside Shoply** shows what they sent, a reference and a proof of payment. **Approve and Deliver** completes the order as a payment would. **Reject** cancels it and releases its coupon, without emailing the buyer.

### Refund

On a completed order, all of it, one of three ways:

* **Back to what paid**, through the payment provider. Offered where the provider can send money back. Crypto, skins and custom payment methods never can.
* **As store credit**, onto the buyer's balance at your store, for as much of what was paid as you choose.
* **Recorded only**, when you returned the money yourself.

An order is marked refunded only once the provider has said the money is on its way, or the buyer has been credited.

### Re-deliver

Gives the buyer fresh license keys and emails them. The old keys are revoked. One order can be re-delivered ten times in an hour.

### Resend receipt

**Resend Receipt**, beside **Download PDF** on a completed order, sends the buyer their order email again as it went: the same email, to the order's own address, with nothing re-issued. It is also how an email that failed, or was never sent, goes now: **Receipt**, under the order's **Details**, says when the receipt went, or that it did not. A customer's order emails can be sent again five times an hour, across all their orders at your store and whoever sends them. Re-delivering sends new keys with an email of its own, and is not counted.

On the left of an order's page are its lines, what was delivered, what the buyer answered to your [custom fields](/guides/custom-fields.md) where they were asked any, its payment and its timeline. A long timeline scrolls inside its card, with an arrow at its foot while there is more below. On the right are the buyer, the order's details, what is known of the connection it was placed from, where the buyer came from and their review.

At its foot, **Webhooks** lists what Shoply sent your servers about the order: each try of each [webhook](/guides/webhooks.md) about it, and each line's [dynamic delivery](/guides/dynamic-delivery.md), with its status and the start of what came back, which you can copy. It shows the newest ten, and **Show All** opens the rest. Every delivery of your store, in full, is in **Developers**, **Activity**.

## Exporting orders

**Export CSV** on **Orders** makes a spreadsheet. It starts from the filters the list has, and you can change them before you download: the dates, the status and the payment method.

Each row can be **An Order** or **A Product Line**. A row an order has everything the order's page shows: when it was placed and paid, what the sale price, the coupon and an affiliate link took off, the payment fee, the tax, what came from the buyer's balance, the currency it was charged in, the billing address, the address it was placed from, the answers to your custom fields and any note written on it with the API. A row a product line has each line's quantity, price, price before a sale and discount, so it can be summed by product. Delivered keys are never in the file.

A file has every order that matches, however many there are: it downloads as it is made, straight to your computer. A store can export 30 files every 10 minutes, orders, customers and fraud protection's together.

## Invoices

An invoice is an order you make for a buyer: products from your catalogue at their prices, or lines of your own at any price. The buyer gets a page to pay it on, and by email if you choose, with a PDF. Every order has a PDF, paid or not.

## Payment links

A payment link is the quickest way to be paid an amount. Under **Finance**, then **Invoicing**, press **Payment Link**, type the amount on the keys or your keyboard, say what it is for if you like, and press **Create Link**. The keys are a calculator, so a sum can be worked out there: `120 + 30`, or `80 + 20 %`.

A link can sell products in place of an amount. Switch from **Amount** to **Products** over the keys, press **Add Product** and pick what it sells and how many. The link is then for what they cost, in your store's currency, and whoever pays is sent them as any buyer is.

**Times It Can Be Paid** is 1 unless you type another number, up to 1,000. A link for one payment is that buyer's order once it is paid. A link for more stays open to anyone who has it until it has been paid that many times: each person who pays gets an order and an invoice of their own, and the list counts them on the link's row, as `2 of 5 paid`. Once it has had them all it reads **Expired**, there and to anyone who opens it.

The link opens a page of your checkout. Whoever opens it gives their email address, picks a payment method and pays, and the order is theirs. Copy the link, show its QR code, or type an address under **Email It To** and press **Send**.

| | |
| - | - |
| **What it can be paid with** | Every payment method your store has switched on when the link is made. To leave some out, open **More Options** and switch them off under **Pay With**. |
| **How long it is open** | Seven days, or until the day you pick under **More Options**, **Expires**, up to a year away. After that it is cancelled, as an unpaid invoice is. |
| **Who it is for** | Nobody, until it is paid or you email it. Emailed, it is that person's invoice: the page stops asking who is paying, and the list says who it is billed to. |
| **Its currency** | Your store's. With adaptive pricing on, pick another beside the amount, by searching for it, and the buyer is charged exactly the figure you typed in it. |
| **Emailing it** | One invoice or payment link email every five minutes. Copying a link has no limit. A link for several payments can be emailed to as many people as you like, and stays open to anyone. |
| **Paid more than once** | Counted when **Pay** is pressed, so two people who press it for the last payment in the same moment can both pay. The extra one is yours to keep or refund. Someone who presses **Pay** has a day to finish paying. A link that sells products checks they are still in stock each time. |
| **Deleting it** | **Delete Link** in its row's menu, while nobody has paid it or pressed **Pay** on it. Its address stops working. A link somebody has started paying is kept in case their payment arrives, and closes by itself on its due day. An invoice cannot be deleted. |

A link is listed with your invoices, with what it is for where an invoice has its number. **Show** above the list narrows it to one or the other. A link delivers nothing: the buyer gets a receipt.

## Reviews

A buyer can leave one review on an order they paid for. An order nobody reviewed is given five stars by itself after seven days, unless you switch that off in the store's settings. A store cannot remove a review. [Reviews](/guides/reviews.md) has the rest.

## With the API

Read orders, export them, mark one paid, refund it, deliver it again, raise invoices and make payment links from your own server: see [Orders](/api-reference/orders/list-orders.md) and [Export orders](/api-reference/orders/export-orders.md) and [Invoices](/api-reference/invoices/create-an-invoice.md). To hear about an order the moment it is paid, add a [webhook](/guides/webhooks.md).
